Submissions

Every submission to your published web form is stored securely in FormGenius. This section covers viewing submissions, exporting data, importing from existing PDFs, and using AI analysis.

Viewing submissions

Access your submissions from the dashboard navigation: click Submissions in the header, then select the form.

Submissions are stored encrypted (AES-256-GCM). They are decrypted only when you view them in the dashboard. FormGenius staff cannot read your submissions.


Exporting submissions as CSV

Click Export CSV to download all submissions for the current form as a CSV file. The CSV uses UTF-8 encoding (with BOM for Excel compatibility). Column headers use your human-readable field labels — not the internal field names.

The export includes all submissions currently visible (i.e. respecting any date filters you have applied). To export everything, clear all filters first.


Importing from PDF Available on Growth Available on Business

If you have existing filled-in PDF forms from a previous system, you can import them into FormGenius as submissions. FormGenius extracts the form field data from the PDF and stores it as a submission — without you needing to re-enter it manually.

How to import:

In the submissions view, click Import PDF. Select one or more filled-in PDF files. FormGenius reads the AcroForm field data from the PDFs and creates a submission record for each file.

Available on Growth Growth accounts can import one PDF at a time.

Available on Business Business accounts can import multiple PDFs in a single batch upload.

Important

PDF import only works with PDFs that contain fillable AcroForm fields — i.e. forms where the data is stored in structured form fields, not just typed text. Scanned PDFs and PDFs where text has been typed directly into the document are not supported by this feature. OCR import for scanned documents is planned for a future release.

Tip

The imported PDF does not need to have been created in FormGenius. Any PDF with standard AcroForm fields can be imported. Field names are matched against your form’s field names where possible.

Auto-deleting submissions Available on Business

Business accounts can set an automatic deletion schedule for submissions. Once enabled, submissions older than your chosen number of months are deleted automatically. The setting accepts values from 1 to 120 months.

This is useful for GDPR data minimisation — only keeping submission data for as long as you genuinely need it.

The auto-delete setting is in the Publish panel and on the submissions screen. Changes take effect at the next scheduled deletion run (daily).


Email notifications Available on Growth & Business

Growth and Business accounts can receive email digests when new submissions arrive. Set the notification email address and frequency (daily, weekly, or monthly) on the submissions screen.

Digest emails summarise new submissions since the last notification — they do not include the full submission content for security reasons. Log in to FormGenius to view full submissions.


FormGenius Analysis (AI) Available on Growth & Business

FormGenius Analysis uses AI to analyse patterns across your submissions and surface insights you might not spot manually. It runs on aggregated submission data, not individual responses.

Click ✨ Analyse on the submissions screen. Choose a date range. Select Overview or In-depth mode:

Overview
A summary of response patterns — common themes in open text fields, distribution of responses across options, and any notable outliers.
In-depth
A more detailed report with highlighted excerpts and specific recommendations, exportable as a formatted report.

The first time you use FormGenius Analysis, you’ll see a one-time GDPR consent notice explaining how your submission data is processed. Submission data is sent to the AI model for analysis — FormGenius does not retain this data beyond the immediate request.

Tip

Fields marked as Sensitive Data in the properties panel are excluded from AI analysis by default. This is the recommended setting for fields collecting personally identifiable information.
